Cancellation & Refund Policy

Effective Date: August 13, 2025

1. General Conditions

This Cancellation & Refund Policy is an integral part of our Terms & Conditions. By making a booking with Geeta Holidays Pvt Ltd ("the Company"), you ("the Client") acknowledge and agree to this policy in its entirety. This policy is binding and final.

2. Initiation of Cancellation

All cancellation requests must be submitted in writing via email to info@geetaholidays.com. The cancellation will be effective only from the date of receipt of the written request. Verbal cancellations will not be entertained under any circumstances.

3. Non-Refundable Components

The Client acknowledges that certain components of the booking are strictly non-refundable and non-transferable from the moment of payment. These include, but are not limited to:

  • Initial Booking Deposit: The deposit paid to confirm any booking is fully non-refundable.
  • Visa Fees: All fees paid for visa processing are non-refundable, regardless of the outcome of the visa application.
  • Travel Insurance Premiums: All payments made for travel insurance are non-refundable.
  • Service Fees: Any service fees charged by the Company for booking, planning, or administrative tasks are non-refundable.

4. Cancellation Charges for Tour Packages

In addition to the non-refundable components, the following cancellation charges will be levied on the total booking cost, based on the date of receipt of the written cancellation notice:

  • 46 days or more prior to departure: The non-refundable deposit will be forfeited.
  • 31 to 45 days prior to departure: 50% of the total booking cost will be charged as a cancellation fee.
  • 30 days or less prior to departure: 100% of the total booking cost will be charged. No refund will be provided.
  • No-Show: In the event of a no-show, 100% of the total booking cost will be forfeited. A "no-show" is defined as a failure to appear for the scheduled departure without prior written notification.

5. Third-Party Supplier Policies

The Client understands that Geeta Holidays acts as an agent for third-party suppliers (airlines, hotels, cruise lines, etc.). All bookings are subject to the individual cancellation policies of these suppliers, which may be stricter than those of the Company. The supplier's policies will supersede the Company's policy in all cases.

Specifically, airline tickets are almost always 100% non-refundable once issued. Any refunds from suppliers will only be processed to the Client after the Company has received said funds from the supplier, a process which can take several months. The Company is not liable for any delays in refunds from third parties.

6. Amendments and Rescheduling

Any request to amend or reschedule a booking will be treated as a cancellation and will be subject to the cancellation charges outlined in Section 4. A new booking must be made, subject to availability and prevailing prices.

7. Force Majeure

The Company shall not be liable for any refunds or compensation in the event of cancellation or curtailment due to Force Majeure events. Such events include, but are not limited to, acts of God, war, political unrest, terrorism, natural disasters, pandemics, epidemics, government travel advisories, or any other unforeseeable circumstance beyond the Company's control.

8. Disclaimer of Liability

This policy is absolute. The Company is not liable for any incidental or consequential costs incurred by the Client due to the cancellation of a booking, including but not limited to visa fees, vaccination costs, or non-refundable connecting flights. The Client's sole remedy is limited to the potential refund amounts as strictly defined within this policy.
